SCPS CONVOCATIONS

In addition to the University’s Commencement Ceremony, the School of Continuing and Professional Studies hosts a separate event for its graduate and undergraduate students and their guests.  This year, our ceremony will be held at the Grand Hyatt Hotel at Grand Central Station.  Along with your family and friends, join your fellow graduates as we celebrate your achievements.  Please read the information below and look for additional information in your invitations.

Monday, May 11, 2009  - The Grand Hyatt Hotel (Park Avenue at Grand Central)

  • 10:30 am - Guest seating in the Auditorium on the Ballroom level.  Lineup for students begins on the conference level.
  • 11:30 am - Academic Procession and Formal Program
  • 1:30 pm - 3:00 pm - Reception --- Conference Level

Eligibility: Invitations are mailed to graduates and candidates for graduation for the 2008-2009 academic year--specifically, September 2008 and January 2009 graduates, and May 2009 candidates.  

Invitations: The SCPS Office of Events will mail invitations for this event in mid March. If you do not receive your Convocation invitation by, April 7th, please contact the office at (212) 992-9100 to verify graduation status and mailing address.  

Tickets: Each participating graduate and candidate for graduation is eligible to bring up to four guests (Graduates do not need a ticket). You will be able to reserve tickets online beginning March 9, 2009.  The deadline for reserving tickets was April 17, 2009.  

Please note: Tickets will be distributed on a first come first serve basis. Once all tickets for the ball room are allocated, guests will be given tickets to the TV viewing room. We encourage you to book your tickets early.

  • Monday, May 4 – 3:00 pm - 6:00 pm
  • Tuesday, May 5 – 3:00 pm - 6:00 pm
  • Wednesday, May 6 – 3:00 pm - 6:00 pm
  • Thursday, May 7 – 3:00 pm - 6:00 pm

You must show your NYU I.D. to claim your tickets.  Please note that tickets are not transferable.

Academic Attire: Place your order on-line. Graduates and degree candidates who wish to participate are required to wear academic attire.  

Academic attire for Undergraduates must be received on-line by Monday, April 13, 2009.
Academic attire for Graduate must be received on-line by Tuesday, April 7, 2009.

Late Orders: If you miss the April 7th deadline, you must place and pick up a late order any time after Tuesday, May 5, during regular distribution hours. Go to the Barrie Dance Studio, on the first floor of Coles, beginning Wednesday, May 6, when a representative of Herff Jones, Inc. will be available to take and fill your late order in one transaction. All late orders must be paid by certified check, money order, credit card (Visa, MasterCard, or Discover) or cash. The latter will speed up your transaction. Please understand that the rental firm might have to make substitutions to fill late orders.

Graduate Students Academic Attire Distribution:
Academic attire for Graduate must be received on-line by Tuesday, April 7, 2009.  Degree candidates can pick up their academic attire from the Midtown Center, 11 West 42nd Street, 4th Floor.  Be prepared to show valid photo I.D. to claim your rented attire.

Since the rented attire has been folded and placed in a bag for distribution, it is recommended that you pick it up in time to have it pressed before the ceremony.

Return Academic Attire:  If you are only attending the Convocation at the Grand Hyatt you will be able to drop off academic attire on the Conference Level of the hotel. For those planning to attend both Convocation and Commencement, you will need to return your academic attire after Commencement at Yankee Stadium.

Third Party Academic Attire Pick up: If the degree candidate lives out of state or cannot pick up academic attire at the times indicated, a third party may pick up the academic attire providing the following documentation is presented:

  • Photocopy of student’s ID
  • Photo ID of self
  • Signed letter from the degree candidate authorizing pick-up
  • A copy of the online order print-out

Schedule:  Please note that guest seating will begin at 10:30 a.m. for the graduate ceremony; and 5:00 p.m. for undergraduate ceremony.  We will not be able to accommodate any guests arriving earlier. Guests planning to arrive early should wait in the hotel lobby.  

Ceremony:  The ceremony will begin with several speeches, to be followed by the presentation of graduates to the Dean.  During this presentation, each student will be called to march across the stage to be recognized.  

Photographs:  Graduates will be able to purchase pictures taken at the ceremony.  In addition, arrangements have been made for graduates and their families to take graduation portraits after the ceremony, on stage. Details will be included in the invitation.

Awards/Degrees:  Diplomas are not handed out at Convocation or Commencement, but are mailed approximately eight weeks after Commencement.
